Register to Attend

To attend the meeting, you must pre-register here. Registration closes on November 21 at 11:00 a.m.

Who can participate and vote?

All members in good standing may register and have a vote, provided they attend the meeting.  This includes minors aged 10 and older.

Family and Couples members.  Each member of a family or couple will need to register for the meeting in order to vote independently and attend the meeting on a separate device if possible. REGISTER HERE

How to join the meeting

Once you have registered, Zoom will send a link to the meeting via email with a passcode unique to you. Please download the Zoom client to your computer or phone. Click on the Zoom link at 11:00 a.m on Sunday, November 22 and you will enter the meeting.

If you don’t have a computer, dial in to the meeting using one of the phone numbers published in the email from Zoom confirming your registration.

How to ask questions or participate in the meeting

Questions in advance are encouraged and can be submitted to: or ask a question through the Q&A function in Zoom during the meeting.

How to vote in the meeting

  1. You can vote online when a voting ballot is presented on your screen. Choose your answer and press submit. Your vote will not be visible to other attendees.
  2. If you are participating by phone only, secret ballot privacy cannot be supported.  You will be required to state your voting position verbally or you can choose to abstain.
  3. Proxy voting: there is no proxy voting at our AGM. 
  4. Family Voting Protocol: It is highly recommended that all family members participate with their own devices. This will be the most efficient way to count votes. If your family does not have adequate devices, you can send in family votes to Heather Drugge using private chat during the meeting.

Meeting Conduct 

  1. Robert’s Rules of Order Newly Revised 11th Edition will generally dictate procedures with the following modifications: 
    1. Where they are not in accordance with either HSC’s Bylaws or the Society’s Act
    2. Members may be allowed to speak once on each motion to a maximum of 2 minutes in the order they are recognized by the chair (raising hands in Zoom Webinar) with following exceptions:
      • The person making the motion will be called upon first to speak should they so desire
      • The chair will then alternate between those making the motion and those speaking against the motion
    3. Debate on each motion will be limited to a maximum of 10 minutes.
    4. Debate is limited to the motion on the floor.  If an amendment is being considered to a main motion, then debate is restricted to the amendment not discussion on the main motion.
    5. Note: (note: the assembly can vote to revise these procedures for the AGM or for individual motions if debate is desired to be extended)
  2. The meeting will be recorded.
